Stage II: 5 Grievance Process

The institution has a clearly identified grievance process for handling all candidate grievances in a fair and timely manner. The grievance process is readily accessible for all applicants and candidates and is shared with candidates early in their enrollment in the program. | (a) Provide a draft, copy or link to the institution’s grievance process for candidates and applicants that is or will be easily accessible (e.g., link to where the grievance process is housed on the institution’s website). | The Graduate College Manual states on page 5 that there are a variety of reasons as to why a qualified graduate student may not be admitted: “Because ASU receives applications from many highly qualified students, some applicants may be denied admission for reasons not related to their academic performance. Examples include, but are not limited to: program capacity, mentor availability and/or program match.”
If a candidate believes discrimination is the reason for their denial, they are able to follow the steps listed in the application to file a complaint, per ACD 401: Prohibition Against Discrimination, Harassment, and Retaliation.
Mary Lou Fulton College for Teaching and Learning Innovation (MLFC) has a clearly identified grievance process for handling all candidate grievances in a fair and timely manner. The student forms and policies webpage provides students with links to a form to petition to adjust graduate program requirements, how to request a Medical Compassionate Withdrawal and the Grade Appeal Policy and Process. The MLFC grade appeal process is in alignment with the university process.
In the event a school district or community partner requests that a student be released from clinical placement for unprofessional or inappropriate behavior, the Satisfactory Academic Progress and Professional Conduct Policy manual outlines on page 11 the process and how the student will have the opportunity to share their perspective, provide details, evidence or other supporting documentation to explain the situation from their perspective during the release meeting.
If a student is unable to complete a course because of illness or other conditions beyond the student’s control, the student can submit an Incomplete Grade Request to the instructor.
If students require escalated support, or know of a student who needs escalated support, they can submit a Support Our Students form. By submitting this form, MLFC leadership will initiate coordinated care strategist intervention to help the student(s) with the concern as quickly as possible.
The Graduate Policy Manual provides a notice of nondiscrimination on page 6. The Title IX coordinator’s contact information (phone number and email) is provided, as well as a link for how students can make a report online. The Report It site outlines the offices that will take the student’s report and provide support. |
(b) Provide evidence that demonstrates how candidates will be informed of the existence of the grievance process early in their enrollment in the program (e.g., orientation materials or candidate handbook where it is clear that the grievance process will be discussed). | Candidates will be informed of the existence of the grievance policy early in their enrollment in the program. Once students are accepted to the program, our graduate advising team will email the student a welcome letter with an orientation video that outlines the graduate student expectations and policies, graduate student resources, and how to contact academic advising and other coaches. The orientation video also outlines the Graduate Policies, such as how to request a leave of absence, and the requirements for remaining in good academic standing. The orientation video is housed on the MLFC Graduate Student Site so students can also reference if they delete the email.
In addition to the orientation video, candidates will be provided links to their program handbook that outlines the grievance process as well as the most recent version of the MLFC Satisfactory Academic Progress and Professional Conduct Policy (SAPPC) manual. Section V of the SAPPC outlines MLFC’s Appeal Policies and Procedures.
The program handbooks are posted on the MLFC Graduate Student site. Each program handbook includes ASU’s Title IX policy and provides the Title IX office contact information. Each program handbook also has a section on the appeal and grievance processes with a link to the Grade Appeal Form, the steps for the grievance process and how to appeal a decision to the dean. |
